Position Description:

The University of Louisville School of Dentistry is seeking a Department Coordinator IV (Quality Assurance Department). This position is a full-time staff member responsible for supporting the Quality Assurance Program activities, including organizing and coordinating quality assurance program activities and initiatives. This position collects and updates data reports, maintains incident report records, and facilitates data-driven resolutions under the supervision of the Quality Assurance and Unit Privacy Supervisor.

Essential Duties and Responsibilities

  • Support the Supervisor and the Director of QA for program coordination, maintenance, and project management for Quality Assurance Program resolutions and initiatives.

  • Initiate, maintain, and track patient concerns received by the Quality Assurance office.

  • Maintain verbal and written patient correspondence, ensuring proper documentation through scanning, tracking in the patient log (MS Excel, MS Teams), and recording in the electronic health record (axiUm).

  • Provide customer service follow-up and support  for patient concerns, collecting and maintaining data in MS Office from phone calls, mail and email utilizing excellent written and verbal communication skills.

  • Report potential risk management concerns to the Quality Assurance Supervisor or Director of QA .

  • Collect and compile patient surveys using Qualtrics, as well as chart audits and/or other patient related databases and track resolutions, in MS Excel and PowerPoint, for reporting to the office of Clinical Affairs.

  • Utilize MS Excel formulas, charts and graphs, as well as PowerPoint, to analyze, report, and present data to various dental school committees and officials (QA, Clinical Operations and Patient Care).

  • Support regulatory and institutional compliance through data analysis and reporting strategies to align with ULSD’s strategic objectives.

  • Consult with various departments at ULSD to create effective data analysis and reporting strategies , using MS Excel and MS Word.

  • Organize and maintain official records, including minutes and supporting documents, for quarterly QA Committee meetings, the Patient Advisory Board meetings and other related committees using MS Outlook and MS Office.

  • Communicate with various departments regarding QA matters, objectives, compliance and scheduling using MS Outlook.

  • Serve as an advanced user of MS Excel, PowerPoint and Word, to support the Quality Assurance Program in developing future standards and strategic goals through data analysis and other relevant factors.

Preferred Qualifications

  • Technical certifications in Microsoft Excel or other Office applications.

  • Prior experience in a dental setting is preferred.

Competencies

  • Advanced proficiency in Microsoft Office, predominantly Excel and Word.

  • Strong data analysis skills.

  • Excellent written and verbal communication skills.

Target Compensation Maximum:

$31.38

Target Compensation Minimum:

$20.92

Compensation will be commensurate to candidate experience.
