Description

SUMMARY: As the Medical Receptionist Float, this individual provides assistance and coordination for all aspects of the office site. This individual is knowledgeable of all front desk receptionist duties and certain aspects of the back office (scheduling). As the receptionist, this individual is responsible for effectively and professionally managing patient flow from arrival to departure; performing various clerical duties; interacts with other clinic personnel, patients and visitors, and fellow employees to ensure good internal and public relations.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.



  • Follow sign-in procedures and verify completeness of new/update patient information sheet.



  • Enter new patient’s information into system or make necessary changes to established patients.



  • Check for accuracy of insurance status, eligibility, account information, and all vital statistics.



  • Complete all necessary paperwork.

  • Have patient sign appropriate eligibility forms.

  • Receive co-payments and follow department policies for cash management and reporting.

  • Receive fee-for-service payments; complete receipt for patient.

  • Complete opening/closing of area according to checklist paying special attention to cash handling technique, and distribution of forms.

  • Monitor and maintain cleanliness of waiting area and reception area and be able to assist if patients have any difficulty.

  • Be aware of wait time and communicate that information to patients.

  • Monitor front lobby for cleanliness.

  • Maintain a clean and orderly work area.

  • Answer incoming telephone calls; handle patient concerns as appropriate or route to appropriate personnel.

  • Order front desk supplies

  • Maintain front office area – free of clutter, expired magazines/materials; ensure HMA approved information is in reception/waiting area


 


SECONDARY DUTIES AND RESPONSIBILITIES



  • Coordinate staff time off keeping site manager continuously aware

  • Communicate any office hours changes to HMA and site manager

  • Monitor patient flow and report any issues to site manager

  • Monitor new patient volume and report routinely to site manager

  • Manage processes to maximize efficiencies that affect billing and collections

  • Promote and expect a professional atmosphere for employees, patients, and visitors

  • Monitor staff’s tracking of all outstanding orders (lab/DI and initial specialist referrals)

  • Support HMA policies and procedures

  • Assist site manager with organizing staff meetings

  • Serve as liaison between site manager and staff for daily operations

  • Report and monitor any housekeeping issues to onsite management and to site manager

  • Call schedule—notify HMA, site manager and answering service of any physician call schedule changes

     




SUPERVISORY RESPONSIBILITIES



  • This job has no supervisory responsibilities.


 

Qualifications


  • Excellent customer service, organizational and phone skills

  • Ability to handle busy front desk for multiple physicians

  • Prior knowledge of medical reception, Medicare, and all types of insurance

  • Electronic Patient Scheduling and Electronic Health Record/Electronic Medical Record system experience helpful

  • Must be flexible, have strong work ethics, and be a team player

  • Must have good computer and typing skills

  • Must have ability to communicate well, verbally and in writing.


 


EDUCATION and/or EXPERIENCE



  • High school education or equivalent.

  • 3-5 years’ experience in the medical field.

     




KNOWLEDGE, SKILLS AND ABILITIES



  • Skill in maintaining records. Skill in establishing and maintaining effective working relationships with patients, medical staff, and the public. Ability to maintain quality control standards. Ability to recognize problems and recommend solutions. Ability to interpret, adapt and apply guidelines and procedures.

     




CERTIFICATES, LICENSES, REGISTRATIONS



  • Valid and unrestricted TN Drivers License and Proof of current automotive insurance

     




PHYSICAL DEMANDS



  • Must be able to stand or walk for 8 to 10 hours a day



  • Requires regular walking, bending, pushing, pulling, twisting and lifting

  • Must be able to lift at least 10-15 lbs

  • Ability to delineate between numeric numbers
